Organising a moving date at short notice, made easy

The tenancy agreement is signed, the handover date is fixed - but the move is to take place in just a few days. Having to organise a moving date at short notice feels like a state of emergency at first. In fact, even a move with little lead time can be planned well if you gather the right information early, prioritise realistically and do not look for quotes one by one over the phone.

Short notice does not automatically mean expensive or chaotic. Above all it means that decisions have to be made faster. Anyone who now communicates clearly which services are really needed creates good conditions for a reliable date and a move with a good feeling.

What really counts in a move at short notice

With a move several weeks ahead, details can be clarified bit by bit. With a date in seven, five or even two days, on the other hand, three things count: free capacity, complete information and being easy to reach. Moving companies can only calculate properly if they know how big the household is, from which floor things are loaded and whether there is a lift at the new address.

The most common mistake is to give only the date and want to clarify the rest later. That costs time and can lead to quotes that cannot be compared. So state straight away whether furniture is to be dismantled and assembled, whether a fitted kitchen is moving too, how long the carrying distances are and whether heavy or delicate items are included. A piano, a large wardrobe or many moving boxes change the effort noticeably.

The day of the week plays a part too. Dates at the end of the month, at weekends and around public holidays are often in greater demand. If you have a day's leeway on the date or can accept a time window, your chances of available helpers rise. For a small flat, a move during the week can also be much easier to organise than a large family move on a Saturday.

Organising a moving date at short notice: how to go about it

Instead of calling ten firms in parallel, you should bundle the process. That saves nerves especially when notice, key handover, work and childcare are also on the agenda.

1. Gather the key details in 15 minutes

First note the desired moving day, both addresses, living space and number of rooms. Add floors, lifts, the parking situation and the approximate distance between the old and new home. Take a few photos of large furniture and narrow stairwells. You do not have to count every book - an honest, as accurate as possible estimate is enough as a basis.

Then consider what help you need. Should the company only transport? Are a carrying service, furniture assembly, packing material or setting up a no-parking zone needed? The more clearly you name these points, the more precisely the scope of services can be compared.

2. Send a request with all the important details

When time is short, a digital request is particularly practical: you submit your details once and receive suitable responses, instead of repeating the same information over and over. Through Umzigo you can submit a free, non-binding request and receive quotes from vetted moving companies.

Make sure to give a phone number and an email address at which you can be reached at short notice. Some follow-up questions can be answered in two minutes and decide whether a company can reserve the date bindingly. Anyone who can only be reached in the evening should say so straight away.

3. Compare quotes by service, not only by price

A low total price is attractive, but on its own it does not say what awaits you on moving day. Check whether the journey, carrying, van, number of staff and insurance are already included. Surcharges for floors without a lift, long carrying distances or a booking at short notice are just as relevant.

Compare the form of the price too. A fixed price gives planning certainty, provided all the details are correct and complete. An hourly rate can make sense for small, manageable moves, but becomes harder to calculate if there are delays. If anything is unclear, ask before you book - not only when the helpers are at the door.

Customer reviews can also help to judge the service better. Pay less attention to a single particularly good or bad review than to recurring remarks: punctuality, careful handling of furniture and clear communication often say more than general praise.

4. Book the date bindingly and put it in writing

As soon as the quote, scope of services and date fit, you should not put off the booking. With moves at short notice, availability can change quickly. Have the date, the time, the agreed services and the price confirmed in writing.

Also clarify who decides on site on moving day and can be reached by phone. Tell the company about particulars that only became known later, such as a building site outside the house or a changed key handover. Open communication protects both sides from unnecessary surprises.

Which tasks you should take care of yourself right away

A professional moving company takes a lot of physical and organisational work off your hands. Some points still remain with you - and these in particular should not wait until the evening before. If required, apply for a no-parking zone. In densely built streets especially, it can make the difference between a quick move and many extra carrying distances.

Pack a separate bag for the first 24 hours: ID documents, medication, charging cables, keys, important papers, clothing and things for children or pets. It is best to take this bag yourself. That way you do not have to search between boxes when no shelf has been put up yet in the evening.

Inform the property management or landlord about the date if the building has rules for the lift, stairwell or deliveries. In some buildings a lift has to be reserved or protected. Check as well whether the names can be put on the doorbell and letterbox at both addresses in good time.

For the remaining tasks, a short list of priorities helps:

  • Label boxes - ideally with room and contents
  • Pad fragile items well and mark them clearly
  • Empty the fridge in good time and defrost it if possible
  • Photograph meter readings and store the pictures safely
  • Set up mail forwarding, electricity, internet and re-registration

Not everything has to be perfect before the move. Mail forwarding or re-registration can, depending on the situation, also be done after the transport. An access route that has not been organised or glasses that have not been packed, on the other hand, cause stress directly on moving day.

When a date at short notice can become more expensive

Extra costs are not automatically a sign of a dubious quote. If staff, vehicles and material have to be scheduled at very short notice, the effort for the company is greater. On days in high demand in particular, this can show in the price. Additional services such as packing, furniture assembly or a no-parking zone also cost extra, but can make sense if you are short of time.

You should not save in the wrong places. Two helpers fewer sound cheaper at first, but can considerably lengthen a large household without a lift. Then additional hours or a second date may arise. So describe your move realistically rather than too small - a suitable quote is worth more than a low price that does not hold up later.

If your budget is limited, you can prepare yourself: pack boxes, empty drawers, dismantle small furniture and clear the way. The professionals then take over transporting heavy furniture, securing it in the vehicle and the physically demanding floors. This division is often a good compromise between keeping costs under control and taking the load off.

If the desired date is not free straight away

If the first desired date remains open, flexibility pays off rather than panic. Ask about a slot in the morning or afternoon, an alternative date or a part load. For smaller moves it can help to transport boxes and personal items yourself and book the company only for furniture and large appliances.

For a move to another city, planning is somewhat different: here driving distance, loading time and possible return journeys count for more. A company has to plan the day accordingly. So also say whether the new home is already accessible and whether the key handover will definitely take place before the agreed time window.

A move at short notice calls for speed, but not for rushed commitments. Take the time to check services and conditions properly once. When date, price and contact person are clear in the end, the tight schedule becomes a plannable start in the new home.
